Mindcat Dispatch · for operators with their own drivers

Every WhatsApp order on one board, and each driver’s cash counted before the vans come back.

For water and gas distributors, restaurants, grocers and licensed delivery companies in the UAE and Saudi Arabia. Drivers get stops on a phone, customers a tracking link, finance the cash per driver.

How one order moves

From the WhatsApp message to the cash count, nobody retypes anything.

What it does · real screens

The screens your team will use every day.

Captured from our own running copy with invented Dubai sample data: a water company, 8 vans, 32 orders. Names and numbers are not real customers.

  1. “The order came in on WhatsApp last night and nobody saw it.”

    Every order on one board

Orders from every channel sit in one place, by stage: created, dispatched, started, en route, done. A card shows the pickup, the drop-off, the customer and the driver, so the dispatcher sees the whole day without scrolling chats.

    Used by
    Dispatcher, branch manager
    On screen
The board with 30 sample orders across three stages.
Order board with columns Created, Dispatched and Started. Each card shows an order number, pickup at Al Quoz depot, a drop-off such as Villa 61 The Springs 4, the customer and the assigned driver.
Order board: the whole day at a glance, so nothing waits in a chat.
  2. “I phone five drivers to find out who is near Al Barsha.”

Every driver and van on one map

See who is online, which van they drive and where they are, on a map with Arabic and English street names. Pick the nearest driver instead of calling round.

    Used by
    Dispatcher, operations manager
    On screen
8 drivers online across Dubai, each with van model and plate.
Live map of Dubai with Arabic street names, customer pins from Jumeirah to Mirdif, and a side list of eight online drivers such as Anwar Hossain and Bilal Raza with their Toyota vans.
Live map: the nearest free driver, found without a phone call.
  3. “The customer says it never arrived. The driver says it did.”

One record per delivery, from order to door

Each order keeps its route, driver, van, customer, tracking number and every status change with the time. Add the driver’s photo or signature at the gate and a dispute has proof on both sides.

    Used by
    Customer service, finance
    On screen
A started order from Al Quoz depot to Al Safa 1, with route, driver, van and activity.
Order detail with a QR code and tracking number, status Started, the route drawn from Al Quoz to Al Safa on the map, driver Suresh Nair, a 2023 Toyota Hiace with plate Dubai L 46022, and the customer.
Order record: route, driver, van and timestamps settle the “it never arrived” call.
  4. “Drivers call for the location, then forget to say it was delivered.”

The driver’s whole day on one phone

The driver sees today’s orders with the stops left, distance and time, opens one to navigate, and marks it done. When an order needs proof, the app asks for the photo or signature before it can be closed.

    Used by
    Drivers, dispatcher
    On screen
A sample driver’s Saturday: 8 orders, 12 stops left, 81.5 km, and proof of delivery required to complete.
Three phone screens of the Mindcat Dispatch driver app: Saturday orders with 8 orders and 12 stops left, an order from Al Quoz depot to Silicon Oasis with Start Navigation, and an Order Completed step that requires proof of delivery.
Driver app: stops in order, navigation, and no closing an order without proof.
  5. “The customer calls the branch, the branch calls the driver.”

A tracking link the customer opens on their phone

The customer sees the order’s status and the van’s route on a map with Arabic street names, so they are at the gate when the driver arrives. We send the link by SMS or WhatsApp once your account is connected during setup.

    Used by
    Your customers, branch staff

Order tracking page on a phone: the tracking number, status Started, and a live map with the route from Al Quoz to Jumeirah Village Circle in Arabic street names.
Tracking page: fewer “where is he?” calls for the branch.
  6. “Our corporate clients want to book and track without calling us.”

A portal for business customers and merchants

Clinics, offices and merchants log in to book orders, follow each one on the map, see proof of delivery and download invoices.

Customer portal: business clients answer their own “where is it?”
  7. “Finance rebuilds the day from screenshots and envelopes.”

Every job, driver and van in one list

Search, filter and export the day’s orders with driver, van, pickup, drop-off and customer. Import a merchant’s Excel manifest instead of retyping it.

    Used by
    Finance, operations manager

FAQ

What Gulf operators ask first.

Will my drivers actually use an app?
Yes, because it asks little of them. The driver app shows the day’s stops in order: navigate, deliver, take a photo or signature, record the cash. We train drivers in Arabic and English during setup, on their own phones.
Can it total cash on delivery per driver and per merchant?
Yes. Each order records how it was paid, so each driver’s total, and each merchant’s for couriers, comes from the day’s orders. Every status change is kept with its time, and the day exports to your ERP.
Does it help with the TGA warning on manual dispatching?
It helps with the dispatching part. It assigns orders automatically by district and keeps a register of drivers, vans and every status change with the time. It does not license your vehicles or riders; that stays with you and TGA.
Where is our data stored, and where are the backups?
In the UAE for the shared option. For your own copy, in the UAE or in Saudi Arabia (Jeddah or Riyadh), whichever you choose. In your own cloud, it stays wherever your account is.
Does it work in Arabic?
Partly. Some screens are in Arabic today; we finish the rest and the right-to-left layout during setup.
Does it issue ZATCA or UAE e-invoices?
No. During setup we pass invoices to your accredited e-invoicing provider or ERP, so the tax invoice comes from the system your accountant already uses.
Will it work with Foodics, Odoo or SAP Business One?
Yes, through the API and webhooks, connected during setup. We confirm what each connection does in the written plan before you pay.
Can we start without a call?
No, not yet. Every Dispatch plan is set up with you, because your drivers’ app is built and published under your own store accounts. Send your fleet size and we reply by email within 24 hours.
What counts as a driver?
Anyone who uses the driver app to take jobs in a month. Dispatchers, managers and finance users are free.
What is it built on?
Mindcat Dispatch is built on Fleetbase, licensed under AGPL-3.0, and any changes we make to it will be released under the same licence. What you pay us for is the hosting in the region, the Gulf additions, the setup and running it.
