Mindcat Clinic · Clinic management software, patient data in-country

One patient record, one calendar and one cash report for every branch of your clinic.

For private dental, skin and physiotherapy clinics in Riyadh, Jeddah and Al Khobar, then clinics in the UAE. Every practitioner’s day on one calendar, the patient’s record and visit notes open in every branch, charges from your own price list and receipts by Cash and Mada per branch. We set up your copy in the Kingdom for a Saudi clinic or in the UAE for a UAE clinic. From AED/SAR 249 per practitioner a month, with reception and managers free. Up to 5 practitioners, start now with a fixed quick-start package. Larger groups, or your own copy, get a written plan with the go-live date.

What it does · real screens

The clinic management screens your team will use every day.

Captured from our own running copy with invented sample data: a dental and skin clinic with branches in Riyadh and Jeddah, four practitioners and two weeks of visits. Names, numbers and records are not real.

  1. “Thursday evening is double-booked again.”

Every practitioner’s day on one calendar

Day, week and month views with one column per practitioner, across both branches. Reception sees who is free, marks arrivals and check-outs, and filters by branch.

  2. “Her folder is at the other branch.”

  3. “I can’t read the last dentist’s notes.”

Visit notes the next doctor can read

Every band, option and fee, in writing.

You pay per practitioner per month. A practitioner is a dentist, doctor, dermatologist or therapist with their own calendar who sees patients that month. Reception, the clinic manager, billing staff and owner logins are free. The price drops as you grow: each band’s price applies only to the practitioners inside that band.

With 5 practitioners it is SAR 1,245. With 25 it is SAR 4,225. The shared plan has a minimum of AED/SAR 890 a month (USD 242.34), which covers up to 3 practitioners.

For a single dentist, a local app at SAR 199 costs less than we do, and we say so. For insurance claims through NPHIES or a NABIDH connection from day one, pick a system that has them today. We fit the group that wants one record across branches, its data kept in its own country in writing, and the setup done for it. Ask each option three questions: where the patient data sits, how you get all of it out if you leave, and who can show you who opened a record.

FAQ

What clinic owners ask about clinic management software.

Where is our patient data stored?
In your country. We set up your clinic’s copy in the Kingdom for a Saudi clinic or in the UAE for a UAE clinic, or on your own servers. UAE federal law (the ICT in Health Fields law, Article 13) does not allow health data about care in the UAE to be stored or processed abroad without the health authority’s approval, so we store it in your country and don’t move it across the border.
Is it connected to NPHIES, NABIDH, Malaffi or Riayati?
No, not today. Mindcat Clinic doesn’t check insurance eligibility or send claims through NPHIES, and none of the NABIDH, Malaffi or Riayati connections is built. Each would be a separate project, and the regulator or platform decides whether it is accepted. If most of your visits are insured, or your licence needs one of these before you switch, we are not the right choice yet.
Does it issue ZATCA e-invoices?
No. It records charges and payments and reports receipts. Your ZATCA-ready accounting or point-of-sale system issues the tax invoice; on managed plans from 16 practitioners we link the two during setup.
Does it work in Arabic?
Partly. Staff can sign in in Arabic and the layout runs right to left, but about half the screens, and parts of the patient portal, are still in English. On managed plans we finish the screens your team uses during setup.
Who can see a patient’s record?
Only the roles you allow: reception, practitioners, billing and admin each see what their job needs. Every time a record is opened or changed, the access log shows who, when and which page, including the patient’s own portal visits.
Can we move our old records in?
It depends on the plan. The quick start imports your patients’ details and allergies from our CSV template. From 6 practitioners, managed setup moves active patients from your old system’s export or scans, with the scope written in the plan. Below that, moving old records is quoted as a line in the plan.
Can we leave with our data?
Yes. You can have the full database and every document whenever you want, or a patient summary per patient. On your own servers, you already hold it.
Is it certified by the Ministry of Health, DHA or DoH?
No. Mindcat Clinic has no Saudi or UAE health-authority certification. We tell you what it does today and what is setup work, and your clinic stays responsible for meeting its licence conditions.
Can we start without a call?
Yes, with up to 5 practitioners on the shared plan. Send the quick-start form and we send the payment link within 24 hours, then the CSV templates, guides and recorded training in Arabic and English. From 6 practitioners, or on your own copy or cloud, you get a written plan first.
What is it built on?
Mindcat Clinic is built on OpenEMR, licensed under GPL-3.0, and any changes we make to it will be released under the same licence. When we run it on your own servers, the source of our version comes with it. We are not affiliated with the OpenEMR project. What you pay us for is hosting in your country, the setup, moving your records and running it.
