Mindcat Inbox · WhatsApp CRM that keeps every lead with your brokerage

Every WhatsApp lead on the company number, with an owner, so the clients stay when an agent leaves.

For real estate brokerages in Dubai and Riyadh, then clinics, salons, workshops and shops. Leads from WhatsApp, Bayut, Property Finder, Instagram and your website land in one shared inbox. Each gets an agent, the permit and cash flag sit on the lead, and the manager sees who answered. Hosted in the UAE or the Kingdom from AED/SAR 89 per agent a month, set up by us, with the go-live date in writing after one morning with your sales manager.

What it does · real screens

The WhatsApp CRM screens your agents will use every day.

Captured from our own running copy with invented sample data: a brokerage with desks in Dubai and Riyadh, six agents and a week of leads. Names, numbers and permits are not real.

  1. “Last night’s portal leads are on four different phones.”

One shared inbox for every WhatsApp lead

WhatsApp, website chat and portal leads sit in one list, on the company number. Mine, Unassigned and All show the sales manager what is waiting, which desk it belongs to and who has it.

    Used by
    Sales manager, agents
    On screen
Nine open leads across two WhatsApp numbers, website chat and a portal feed, with agent and labels on each.
Mindcat Inbox shared WhatsApp inbox: the All tab with nine open leads from WhatsApp Dubai and Riyadh numbers, website chat and portal leads, each with the agent’s name and labels such as hot-lead, off-plan and viewing-booked.
Shared inbox: nothing waits on one agent’s phone.
  2. “I can’t prove we checked the permit before we sent the listing.”

The lead’s file beside the chat

Lead source, area, budget, listing reference, Trakheesi permit, Madmoun QR checked, REGA ad licence, and a cash flag for deals of AED 55,000 or more in cash. Private notes let the agent tell compliance without telling the buyer.

    Used by
    Agents, compliance officer, sales manager
    On screen
A Palm Jumeirah lead offering cash on the deposit, flagged for goAML, with a private note to the sales manager.
A WhatsApp conversation with Elena P. about a Palm Jumeirah villa, a private note that the client wants to pay AED 120,000 of the deposit in cash, and the lead panel with Trakheesi permit, Madmoun QR checked, REGA ad licence and the cash flag for goAML.
Lead panel: the permit, the QR and the cash flag on the lead, not in someone’s head.
  3. “My agents live on their phones, not at a desk.”

The same inbox on the agent’s phone

Agents open the inbox in their phone’s browser between viewings: their leads, the conversation and the lead’s file. Replies still go from the company number.

    On screen
The list, a JVC off-plan conversation and the lead panel at phone size.
Three phone screens of Mindcat Inbox: the conversation list with WhatsApp leads, a conversation with Sarah M. about an off-plan 1-bed in JVC with the payment plan, and her lead panel with Property Finder, Jumeirah Village Circle, budget and Trakheesi permit.
On the phone: answer from a viewing, from the company number.
  4. “We broadcast new launches from a personal phone and the number got blocked.”

    WhatsApp broadcasts with approved templates

Send a launch or a viewing reminder to a label, such as everyone tagged off-plan, using templates Meta has approved. Replies come back to the shared inbox. Scheduled and sent campaigns stay listed.

Broadcasts: approved templates from the company number, replies in the inbox.
  5. “People ask about a villa on our website at 11 pm and nobody answers.”

Chat on your website, answered from the same inbox

A chat bubble on your listings pages. The visitor asks and an agent answers from the same inbox. Out of hours it says when you’ll reply and asks for an email.

    Used by
    Website visitors, agents

A sample Dubai Hills villa page: the bubble, the welcome and an agent’s reply offering two viewing slots.
Three phone screens of a sample brokerage website: Dubai Hills villa listings with a chat bubble, the chat welcome “Marhaba! Looking to buy or rent?”, and a conversation where agent Priya offers Saturday viewing slots for the Maple 2 villa.
Website chat: the 11 pm enquiry lands in the same inbox as WhatsApp.
  6. “I pay the portals every month and can’t see what my agents did with the leads.”

Reports per agent, desk and number

Conversations, first reply time, resolution time and replies per agent, per desk and per WhatsApp number, by day or week.

    Used by
    Owner, sales manager
    On screen
Two weeks of sample conversations with first reply and resolution times.

Reports: see who answered, and how fast.
  7. “Half my Riyadh team works in Arabic.”

Arabic for the agents who want it

Each agent can switch the screens to Arabic, and the layout runs right to left. Some screens are still in English today; we finish your fields, saved replies and the screens your team uses during setup.

    Used by
    Riyadh and Jeddah agents
    On screen
An Arabic conversation about a villa in Al Malqa on the Riyadh number, with the screens in Arabic.
Mindcat Inbox in Arabic, right to left: a Riyadh WhatsApp conversation with عبدالله ف. about a villa in Al Malqa, the agent’s Arabic replies, and the lead panel with the REGA ad licence.

A real estate CRM with listings and portal sync does more than an inbox, and costs more. If you already have one, or run Salesforce, Mindcat Inbox sits in front of it and passes the leads in. Ask each option three questions: where the data sits, whose name the WhatsApp number is in, and who answers when an agent can’t log in on a Friday.

How we start

From agent count to go-live, with the date in writing.

FAQ

What brokers ask about a WhatsApp CRM.

Can several agents use one WhatsApp number?
Yes. The company number is connected once, and every agent answers from it in the shared inbox, on a laptop or in their own phone’s browser. Each conversation shows which agent has it, and the history stays with the brokerage.
What happens to the leads when an agent leaves?
They stay. You switch off the agent’s login and reassign the conversations. The full history, notes and lead fields remain.
Will WhatsApp block our number for broadcasts?
It depends on how you send. We use Meta’s official API with templates Meta approves, to people who contacted you or agreed to hear from you. Meta can still limit a number that gets many blocks or reports, so we set up your first broadcasts with you.
Who pays for WhatsApp messages, and how much?
Meta, billed to your own WhatsApp Business account at cost, outside the agent price. From 1 October 2026 a marketing message to a UAE or Saudi number costs USD 0.0576; replies inside a customer’s 24-hour window cost less. Our post on WhatsApp Business API pricing in the UAE has the full table.
Does it check the Trakheesi permit or Madmoun QR with DLD?
No. It records the permit number and that the agent checked the QR, on the lead, so you can show what was checked. DLD and the portals do the checking.
Does it file goAML reports?
No. It flags a cash deal of AED 55,000 or more and lets the agent mention your compliance officer in a private note. The report is filed by your brokerage on goAML.
Does it work in Arabic?
Partly. Agents can switch the screens to Arabic, right to left, but some screens are still in English. We finish your fields, saved replies and the screens your team uses during setup. Replies to customers can be in any language.
Does it replace our real estate CRM or Salesforce?
No. It handles the conversations. Listings stay in your real estate CRM, and leads pass to Salesforce through the sync we build during setup.
Can our team sign in with Microsoft or Google (single sign-on)?
No. Each agent signs in with their own email and password, and you switch a login off when someone leaves. Single sign-on is not included today.
What counts as an agent?
Anyone who replies to customers in a month. One owner or admin login that only reads reports is free.
