You don’t need a bank integration to stop losing track of returned cheques: one status on the cheque row, set the day the bank tells you, keeps it at the top of the list until it is replaced. The first screen shows it. Captured from our own running copy, with the lease screens and reports we set up for clients and invented sample data: a Dubai management company with four buildings in JVC, Dubai Marina, Al Barsha and Arabian Ranches, and a Riyadh company with a villa compound and an office building. Names, cheques and amounts are not real.

    Each lease holds the tenant, unit, rent, deposit, Ejari or Ejar number, notice days and renewal status, and one row per payment: due date, amount, method, cheque number, bank and status.

You pay per unit per month. A unit is a flat, villa, shop, office or warehouse that has a lease or is listed as vacant. The price per unit drops as your portfolio grows: each band’s price applies only to the units inside it. Buildings, owners, tenants, staff logins and tenant portal logins add nothing.

Worked example. A management company with 300 units pays 100 × 15 + 200 × 8 = AED 3,100 a month (SAR 3,100, USD 844.11). With 100 units it is AED 1,500. With 500 it is AED 4,700. With 1,000 it is AED 7,200. The shared plan has a minimum of AED/SAR 990 a month, which covers up to 66 units.

FAQ

What property managers ask about property management software.

Can it register Ejari, Tawtheeq or Ejar contracts?
No. Contracts are registered on DLD’s, the Abu Dhabi registry’s and REGA’s own channels, as now. Mindcat Lease keeps the contract number and its status on each lease.
How does it track post-dated cheques?
Each lease has a payment schedule with one row per cheque: number, bank, date, amount and status. Cheques to Deposit lists what is due in the next 30 days, and a returned cheque stays flagged until you mark it replaced. It doesn’t bank cheques for you; it tells you which to bank and records the result.
Does it handle the RERA index and the Riyadh rent freeze?
Partly. Every lease carries its notice days (90 in Dubai, 60 in Riyadh), and we calculate the date the notice has to go out when we import it; if a lease’s end date changes, your team updates that date too. The renewal shows the proposed rent and the rule your team checked. The allowed increase itself comes from the DLD rental index calculator or the Riyadh rules; the software doesn’t calculate it.
Can our accountant keep using Tally or Zoho Books?
Partly. Rent invoices, payments and tenant balances live in Mindcat Lease’s own books, because the cheques and owner statements come from them. Your accountant can take a monthly export into Tally or Zoho Books, or keep the rent ledger here.
Can tenants pay online?
No, not today. Tenants see what is due and what is paid on the portal, and pay by cheque, transfer or through Ejar as now. Online card payment through your own payment gateway can be scoped in a managed plan.
Can landlords see their statements?
Yes. The owner statement shows each building’s rent invoiced, collected and unpaid, your fee and the net, and goes to the landlord as a PDF. A read-only login for each landlord, and the emails that send it, are configured in the managed setup.
Does it work in Arabic?
Yes. Each user can switch the screens to Arabic, right to left. The lease screens’ Arabic labels are our translations, loaded during your setup.
Where is our data kept?
In the UAE or Saudi Arabia on the shared plan, on your own servers in the UAE, Jeddah or Riyadh, or in your own cloud. You choose when you sign.
Can we import our leases from Excel?
Yes. You fill our CSV template with buildings, units, leases and cheque schedules; a person on our team checks it and sends back anything that needs fixing. On managed plans we clean and import it for you, cheque history included.
What is it built on?
Mindcat Lease is built on ERPNext, licensed under GPL-3.0. We are not affiliated with Frappe Technologies. The lease screens, reports and Arabic labels are our configuration on top of it. When we install it on your own servers, the source code of that copy comes with it. What you pay us for is the hosting in the region, the lease setup, the import and running it.
