“Payroll software is for big companies; we are fine in Excel” is the belief that keeps the WPS file a monthly fire. The first screens below are an 18-person contractor’s September run. Every screen is captured from our own running copy with invented sample data: a Sharjah MEP contractor with sites in Dubai Hills, JLT and Al Quoz, and a Dammam facilities company with a site in Al Khobar. Names, IDs and bank numbers are not real.

    The gratuity comes from the rule we set during setup and the years of service; the final settlement lists it with the last salary, leave encashment and any advance to recover, so finance pays the leaver once.

You pay per employee on payroll, per month: anyone with a salary slip that month. HR, finance and manager logins add nothing, and a manager who is paid through the system counts once. Leavers stop counting the month after their final settlement. The price per employee drops as you grow: each band’s price applies only to the employees inside that band.

Worked example. A contractor with 150 employees on payroll pays 50 × 29 + 100 × 18 = AED 3,250 a month (SAR 3,250, USD 884.96). With 50 employees it is AED 1,450 (USD 394.83). With 400 it is AED 6,550 (USD 1,783.53). With 1,000 it is AED 11,750 (USD 3,199.46). The shared option has a minimum of AED/SAR 990 a month (USD 269.57), which covers up to 34 employees.

What buyers ask about payroll software in the UAE and KSA.

What counts as an employee?
Anyone with a salary slip that month. HR, finance and manager logins add nothing, a manager paid through the system counts once, and leavers stop counting the month after their final settlement.
Does it make the WPS SIF file?
Yes, once we set it up. During setup we build the salary file from the payroll run in your bank’s or exchange house’s format and test it with them before your parallel month. After that, every run makes it. Your team uploads it to the bank as today.
Does it handle GOSI for Saudis who joined after July 2024?
Yes. Each Saudi employee sits on the salary structure for their regime, before or after 3 July 2024, with the annuity and SANED rates for it. We load the rates during setup and update them each July as the new regime steps up.
How is end-of-service gratuity calculated?
From the rule we set during setup and the employee’s years of service and basic pay. In the UAE that is 21 days’ basic pay a year for the first five years and 30 days after, capped at two years’ pay. The Saudi rule includes the reduced award on resignation. The amount goes onto the final settlement.
Can payroll data stay in the UAE or Saudi Arabia?
Yes. Your copy runs in the UAE or the Kingdom on our servers, or in your own cloud or data centre, with the source code handed over. Each client has a separate site and database.
Is there an app for employees?
Yes. Employees check in, ask for leave, claim expenses, ask for advances and open payslips on their phones, in the browser or added to the home screen. Managers approve from the same app.
Does it work in Arabic?

Can it take attendance from our biometric clock?
Yes, during setup. Most clocks can send or export check-ins, and we connect yours so overtime and late marks come from the real times. Crews can also check in on their phones.

Yes. Managed setups include one parallel month: your current payroll and ours side by side, and you sign off before the switch. The quick start runs the first month with you on tickets.
What is it built on?
Mindcat People is built on Frappe HR and ERPNext, licensed under GPL-3.0, and any changes we make will be released under the same licence. We are not affiliated with Frappe Technologies. A copy we install on your own servers comes with its source code.
