Your clinic system already has a diary: when does a booking page make a second calendar?

The short answer

Should a Dubai clinic that already has a record system with a diary add a separate booking page?

Only if the page and diary agree. If your clinic system has online booking that patients will use, use that. If reception books on paper, a sheet or WhatsApp, a page is your one calendar. A page cut off from the diary makes a second one. At Mindcat, we say which case you are in before we sell.

Takeaways

  1. 01One clinic, one calendar. A second schedule moves the double booking from the phone into the system.
  2. 02Ask where a booking lands, whether the page sees the live diary, and what happens when two patients pick one slot.
  3. 03Mindcat Bookings keeps its own calendar per doctor. Webhooks to a clinic system are managed setup from 16 staff calendars, scoped in writing.
  4. 04Eight doctors and therapists cost AED 430 a month on Bookings. A 3-doctor clinic pays the AED/SAR 399 minimum.

If your clinic has a record system with a diary and patients still book on WhatsApp, this is for you. It is not for a clinic that needs medical records too: a clinic system fits better, and a booking page should sit in front of it only if its bookings can reach that diary.

Why does a booking page become a second calendar?

Most clinics that add online booking do not plan to keep two schedules. It happens because the page keeps its own list of free times, and the diary reception uses keeps another.

Balsam Medico sells clinic software, so it has an interest in the answer. Its guide of 27 October 2026 still puts the rule plainly: "Your clinic should have exactly one master calendar, normally inside your EMR, and every channel should read from it and write to it." It lists three causes of a double booking: out-of-date copies of the calendar, the gap between viewing a slot and confirming it, and bookings that never enter the system.

A page with its own list of free times produces the first and third causes. Someone copies bookings across by hand, or does not. The double booking that used to happen on the phone now happens in the system, with a patient who drove in.

One diary rule: phone, chat, booking page and walk-in all write into one diary; a page with its own list is a second one
Every way a booking arrives should end in the same diary.
If you only need to know whether to choose a page or WhatsApp, start with our post on that choice; this one is for clinics that already have a diary inside a system.

Which three questions do you ask first?

Put these to any seller of a booking page, including us. You can answer the first one yourself in five minutes.

  1. 01Where does a booking land? Watch one booking made from the page. Does it appear in the diary your doctors open, or in a second list someone must copy?
  2. 02Does the page see the live diary? When reception books 10:00 by phone, does the page stop offering 10:00 straight away, or at the next refresh?
  3. 03What happens when two patients pick the same slot? Balsam Medico recommends a short hold while the patient types and a second check at the final click. Ask whether the page does both.

For Mindcat Bookings, the answer to the first question is plain. Bookings keeps its own calendar for each doctor or therapist. It does not read the free times of your clinic system. It can send each booking out to your clinic system as an automatic message (a webhook), which is managed setup from 16 staff calendars, and whether your system accepts that message is the first thing we check and put in writing. A 3-doctor clinic is below that line.

So a clinic with a record system and fewer than 16 calendars should not expect the page and the system's diary to stay in step. We would rather tell you that before you pay.

Three questions: where does a booking land, does the page see the live diary, what if two patients pick one slot
Ask these three before you add a page.

Which way should your clinic go?

Our rule is one clinic, one calendar. Three cases cover most front desks.

  • Your clinic system already has online booking. Use it, if patients will open it. A second tool adds a second calendar for nothing. Do not buy a page.
  • Your front desk books on paper, a sheet or WhatsApp. A booking page becomes your calendar. Each doctor or therapist gets one, reception books into the same one, and the rule is met. This is where Bookings fits.
  • You run a clinic system whose diary has no way in, and its own booking page is poor. Ask your system's seller whether it offers patient booking, and keep taking WhatsApp requests with reception writing each one into the system's diary. Do not add a page that cannot reach it: that moves the double booking from the phone into the software.
Three cases: system has patient booking, use it; paper or chat diary, a page is your calendar; system diary, no way in, wait
Which way your clinic goes depends on where the diary lives.

A page nobody opens is its own failure. Dubai Tech Guy, an IT provider, described one Dubai clinic on 2 April 2026: a website booking form that cost AED 12,000 to build received 8 bookings a week, while WhatsApp received 80 booking requests a week. It is one clinic, told by the seller, so read it as a prompt to count your own week, not as a rate.

So the page works as the link in your WhatsApp reply and in your Instagram bio, not as a tab on the website. On our page the sample patient books from the Instagram link at 10 pm, in Arabic, and picks a free time without a message to reception.

The reason to bother is an empty chair. A 2025 JMIR Formative Research study of Emirates Health Services primary care centres found a baseline no-show rate of 21 percent. On Bookings the reminder email is added during setup, not on day one.

What does Bookings leave out?

Say it before the price. Mindcat Bookings does not do these today:

  • Hold medical records or insurance claims. That is Mindcat Clinic: Clinic holds the record, Bookings holds the diary in front of it.
  • Take deposits or online payment. Patients pay at the clinic.
  • Offer Hijri dates, UAE PASS or Nafath. Dates are Gregorian, and staff sign in with email and password.
  • Send reminders on day one. The app sends confirmations. We add the reminder email during setup, and from 6 calendars WhatsApp or SMS reminders through your own provider. Message fees are billed at cost.

What it does today: patients book a free slot in Arabic or English, laid out right to left in Arabic, and reception sees every doctor on one screen. A booking carries a name, a phone number and a reason for the visit. That data is stored in the UAE, or in the Kingdom for a Saudi clinic. More on this on the clinics page.

How do we decide with a clinic?

Our method is called Every slot visible. We start with one question: where does a slot live today? We list the places a booking can start, phone, WhatsApp, Instagram, walk-in, and the places it is written down. Then we count the calendars.

If your system already takes bookings that patients will use, we say so and do not quote. If your diary is paper or WhatsApp, we set up a page with one calendar per doctor. If you have a system diary with no way in, we say wait, or we scope the webhook in writing first. Tell us your case and you get the answer before the price.

What would Bookings cost?

Here is what the Bookings page says today. You pay per staff calendar a month, graduated: AED or SAR 59 each for calendars 1 to 5, 45 for 6 to 15, 35 for 16 to 40, 25 from 41. Receptionists and managers are free. There are no per-booking fees.

  • Eight doctors and therapists: 5 x 59 + 3 x 45 = AED 430 a month.
  • The shared plan has a minimum of AED/SAR 399 a month, so a 3-doctor clinic pays 399, not three calendars at the per-calendar rate.
  • The quick start is a fixed AED/SAR 2,500 that we set up, for the shared plan up to 15 staff calendars.
  • Managed setup is AED/SAR 2,900 up to 5 calendars, 4,900 for 6 to 15 and 8,900 for 16 to 40. Extra work is AED/SAR 900 an hour.

Prices exclude VAT. WhatsApp, SMS and email sending fees are billed at cost. See prices and what is ready today on the page.

Tell us which system holds your diary today, how many doctors and therapists take bookings, and where patients start. We reply with the setup plan and the monthly price per staff calendar, in AED or SAR.

FAQ

Questions teams ask next

Do I need a booking page if my clinic system already has a diary?
Not always. If your clinic system has online booking that patients will actually use, use it and keep one calendar. A separate page earns its place when the front desk books on paper, a sheet or WhatsApp, or when the system's own booking is not something patients will open.
Why do clinics get double bookings after adding online booking?
Balsam Medico, a clinic-software vendor, lists three causes in its October 2026 guide: out-of-date copies of the calendar, the gap between viewing and confirming a slot, and bookings that never enter the system. A booking page that keeps its own list of free slots, separate from reception's diary, creates the first and third.
Can Mindcat Bookings write into my clinic system?
Bookings keeps its own calendar per doctor and can send each booking to your clinic system through a webhook. That work is part of managed setup from 16 staff calendars, and whether your system accepts it is the first thing we check and scope in writing. We name no clinic system as connected.
Does Mindcat Bookings hold medical records or take deposits?
No. Mindcat Bookings books appointments and does not hold medical records or insurance claims; that is Mindcat Clinic's job. There is no online payment or deposit today, so patients pay at the clinic, and Hijri dates, UAE PASS and Nafath sign-in are not available either.
How much does Mindcat Bookings cost for a clinic?
AED or SAR 59 a month per staff calendar for the first 5, 45 for calendars 6 to 15. Eight doctors and therapists come to AED 430 a month, and the shared plan has a minimum of AED/SAR 399, so a 3-doctor clinic pays 399. The quick start is a fixed AED/SAR 2,500 that we set up. Prices exclude VAT.
